Running a Multi-City Roadshow

Ground transport for investor roadshows and press tours: consistency across cities, one account, and the timing details that decide whether a day holds.

A roadshow is a scheduling problem that happens to involve cars.

Book the whole tour at once

Booking city by city produces a different standard in each one. Booking the tour through one account gives you consistent vehicle classes, one invoice and one contact for changes mid-trip.

Hourly beats point to point

Roadshow days have five or six meetings with unpredictable end times. Hourly booking keeps the same chauffeur and vehicle for the day, and your materials stay in the car between meetings.

Build in the airport

The most common failure is a final meeting booked too close to a flight. Work backwards from the check-in time, not the departure time, and treat the drive as the longest plausible version rather than the best case.

Same chauffeur where possible

In each city, the same chauffeur across the day learns the pattern: where to wait, which entrance, how long each stop runs. It saves minutes repeatedly.

What we need for a tour

The city list with dates, the meeting addresses if you have them, flight details between cities, passenger count, and a single point of contact who can approve changes on the day.

One point of contact for the whole tour

On a five-city week, the last thing anyone needs is five phone numbers. A tour booked on one account has one dispatch contact who can see every leg, move a pickup in Boston because a meeting in New York ran long, and tell you where the car is without you having to work out which local operator to call.

Billing

Roadshows are usually billed to the sponsoring bank or the company itself rather than to the traveller. An account gives you one consolidated invoice with a reference or cost code per leg, which is considerably easier to reconcile than a folder of individual receipts.

Late nights and early starts

Roadshow days start before 7am and dinners finish late. Say so when you book: the same chauffeur cannot always cover a 6:30am pickup and an 11pm return, and it is better to plan two chauffeurs than to discover the limit at 10pm.

Contingency

Build one spare slot into each day. Meetings overrun, and a schedule with no slack turns a ten-minute delay in the second meeting into a missed flight at the end of the day.
