Booking a car for someone else

For assistants and coordinators: what to send, who gets the confirmation, and how to follow the ride on the day.

What we need from you

The passenger's name and mobile number, the pickup address and time, the destination, and a flight number for airport work. The mobile number matters most: it is how the chauffeur reaches the passenger if the kerb is blocked.

Who receives what

Confirmations go to whoever books, and can be copied to the passenger. Most assistants keep the booking in their own inbox and have the passenger receive only the chauffeur details.

Following the ride

Ask for trip status when you book and you will be told when the chauffeur is on the way and when the passenger is on board, so you can confirm to a meeting host without calling anyone.

Changes on the day

Meetings overrun. Time and address changes are free before pickup if a car is available, and the fastest route is to message dispatch rather than rebooking from scratch.
